User Management Multi Site & Create Security Levels


User Management Multi Site

You can administer users belonging to an account by assign the required security levels with predefined permissions, enable remote access, assign users to a site and maintain the list of active users as required from time to time.

User Administration

To administer the users within an account follow the steps shown:
In the Control Centre screen
  • Select User Management and press Enter
  • By default, the Security LevelTally.NET ID, Permission to access Tally.NETSite ID and Status are displayed.

Note: Default users such as Account Administrator or Site Administrator are assigned the security levels of Owner and Standard Userrespectively. However, based on the requirement you can change the security level.
To create a user:
  • Select the required Security Level from list of Security Level or press Alt + C to create a new security level. (Click on the link to know more about creating new Security Levels). The list of default security levels are:
    1. Owner: has the capability to manage SitesUsers belonging to an account. The Owner is not permitted to change AccountSite Admin IDSite Status and Account Profile.
    2. Standard User: Created with predefined permissions. All users other than the Owner are created under this security level.
  • Enter the required E-Mail ID in the Tally.NET ID field. Using the E-Mail ID provided a Tally.NET ID is created and the Password emailed.
  • Set Tally.NET User field to Yes, if you want the user to access data from a remote location using Tally.NET.
  • Select the required Site ID from the list of Site ID to restrict the number of active remote users based on the Single User or Multi User license.
  • In the Status field, select the required status from list of Status which are explained below
    1. Active: Set the status to Active when you want the user to be in operational mode.
    2. Deleted: Set the status to Deleted when you want the user to be removed permanently.
    3. In-active: Set the status to In-active when you want the user to be non-operational mode. You can change the status to Active as required.
Similarly, you can create other users as required.
Note: You can change the Tally.NET ID for any user other than AccountSite Administrators. To change the User ID, type the new user id in the Tally.NET ID field.
You cannot change the status to Delete or In-Active for AccountSite Administrator.
  • Accept to save the user created.
The User Management screen also displays the number of Tally.NET Users created for an account. A table depicting the number of users against each edition ofTally.ERP 9 is shown for your reference.

Detailed mode

In the User Management screen
  • Click F1: Detailed or press Alt + F1
  • The User Management screen appears displaying the user name along with the Security Levels shown  
Note: The user has to provide the details in Change My Profile in the Control Centre.

Site Wise Details

The User Management screen displays the users belonging to each site in an account. It also displays the list of Non Tally.NET Users for that account.
To display the number of Tally.NET Users for each site and Non Tally.NET Users, in the user management screen:
  • Click F3: SiteWise or press F3
  • The User Management screen appears as shown

Note: To view the site wise user list in detailed more press Alt + F1

To view the Security Level List

  • In the User Management screen
  • Click F8:Sec Level List or press F8
  • The Select Items screen appears
  • Select the required security level from the List of Security Levels
  • The Security Levels screen appears as shown

  • By default, the Standard User is authorised to access the Support Centre only, based on your requirement select the access controls from the list ofAccess Rights as shown.

  • Accept to save the access rights assigned to the security level.

    Create Security Levels

    An authorised user can create security levels and assign the Access Rights to the user in order to allow the user to perform certain tasks within the account. The security levels created are then assigned to the users belonging to the account.
    To create a security level and assign access controls follow the steps shown:
    In the Control Centre screen
    1. Select User Management and press Enter
    2. In the Security Level field press Alt + C
    3. The Security Level Management screen appears
    4. Type the required security level name in the Name of Security Level
    5. In Allow the Following Facilities
    6. Select the required access rights from the list of Access Rights shown

    1. Accept to save the security level created.
    Note: To alter an existing security level, place the cursor in Security Level field and press Ctrl+Enter or press F8: Sec Level List, select the required security level to make necessary changes.

    The Owner security level is assigned all the access rights and cannot be modified, whereas the Standard User is assigned access rights to manage support centre only and altered as required by the user. The Owner and Standard User security levels cannot be deleted
